Tasks are to-do items that can be assigned to any member of your team. They are a lightweight way to track work that needs to be done — filing paperwork, following up with a contact, or anything else that has a due date and an owner.
To prevent noise, tasks do not appear in calendar feeds.
Navigate to Operations → Tasks to see all tasks in your organization.
The tasks list shows all pending and completed tasks across your organization. Tasks are ordered so that incomplete tasks always appear first, sorted by due date and then by priority.
Use the search box to find tasks by title, due date (in YYYY-MM-DD format), or the name of the assigned team member.
Each task in the list shows its title, the assigned team member, its priority level, its due date, and the date it was completed (if applicable).
Click Create to open the new task form.
Assignee
Select the team member responsible for this task. It defaults to you, but you can assign it to anyone in your organization.
Due date and Priority
| Priority | Meaning |
|---|---|
| High | Urgent — needs attention soon |
| Medium | Important but not immediately pressing |
| Low | Can be done when time allows |
Overview
A short title describing what the task involves (e.g. File listing VA7X1 paperwork). Maximum 50 characters.
Additional notes
Optionally add any further detail that the assigned team member will need — access codes, names of people to contact, where to find documents, and so on. Up to 5,000 characters.
Tasks are automatically deleted 90 days after their due date.
When a task is done, open its actions menu and choose Mark as done. The task’s completion date is recorded and it moves to the bottom of the list. The option to mark it as done disappears once it has been completed.
You can also mark a task as done directly from the edit page using the same option in the header actions menu.
Click Edit task from the actions menu to update any of the task’s details — the assignee, due date, priority, title, or notes. Tasks can be edited at any time regardless of whether they have been completed.
You can attach files to a task — for example, a document that needs to be reviewed or submitted. Click View files from the actions menu to open the file manager for that task. See the Files Guide for details on uploading and managing files.
Click Delete task from the actions menu. This action requires confirmation and cannot be undone.
